Payslip Release Steps & Options in StaffingGo

StaffingGo allows administrators to control when payslips are made visible to employees in the Employee Self-Service (ESS) portal. This visibility is managed at the contract level through the setting titled “Show Payslip in ESS”. This guide explains the available options, the impact of each setting, and the steps to configure the desired behavior.

Payslip Visibility Options

The “Show Payslip in ESS” setting offers multiple options to determine when employees can view their payslips:

1. Payroll Locked

• Description: The payslip becomes visible in the ESS portal immediately after the payroll is locked.

• Use Case: Suitable when you want employees to view their earnings details before payment processing, for transparency or review purposes.

2. Payment is Released

• Description: The payslip is visible in the ESS portal only after the payment has been released (but not necessarily marked as paid).

• Use Case: Ideal for ensuring that employees only see their payslip once the disbursement process has officially started.

3. Payment Updated as Paid

• Description: Payslips are shown in the ESS portal only after the payment status is updated to ‘Paid’ in the system.

• Use Case: Recommended when you want to provide access to payslips only after the full payment process is completed and confirmed.

How to Configure Payslip Visibility

Follow the steps below to update the payslip release setting:

1. Navigate to Contract Settings:

   • Select the relevant contract for which you want to configure payslip visibility.
     
     
     

2. Locate the Payroll Section:

   • Scroll to the section labeled “Show Payslip in ESS” or similar.

3. Update the "Show Payslip in ESS" Setting:

   • From the dropdown, choose “Only Payment is Released”.

   • This ensures the payslip is visible only after the payment process has been locked.

4. Save the Configuration:

   • Click Save or Update to apply the changes.

5. Confirmation:

   • Once saved, the system will automatically enforce the new visibility rules for that contract.

Expected Outcome

After updating the setting to “Only Payment is Released”, employees associated with the contract will be able to view their payslips in the ESS portal only after their payment has been finalized and locked. This helps maintain accuracy and avoidspremature visibility of draft payslips.
