HR Options Workflow and Configurations

HR Options refers to the set of configurable tools and features available to HR users within the system to manage core employee-related operations. These options are designed to streamline HR workflows, ensure compliance, and maintain accurate employee records.


Before configuring the HR options, it is important to find the HR Options are mapped, Below are the steps as follows:


  • Login into Staffinggo Portal     
  • Click on Contract 
  • Select/ Filter out the relevant Contract 
  • There you will be finding the HR Option as shown below 


HR Options Configuration:


Below are the steps to understand what are the different options and how one can configure accordingly:


  • Login into Staffinggo Portal 
  • Select the right HR Option mapped 
  • If the HR Option is not mapped --> Scroll down and Click on "New"
  • In the Title enter the HR Option one can enter the HR Option with contract code as shown below:
    • Attendance Configuration (Options):
      • Strick Rule: One can select the right applicable Strick Rule from the options.
      • Restrict Previous Days Attendance Correction to: In this field you can enter the number of days you want to restrict after which they cannot do attendance correction
      • Attendance Punch Type: In this field select the Attendance Punch Type as Multiple Punches (The user can punch multiple punches), 2 Punch (User will be only applicable for Two punches), Single Punch ( User will be only applicable to check in once)
      • Enable Attendance Flow Checkbox: By enabling this checkbox you will be able to Allign Attendance
      • Mandatory Selfie while attendance Punch: By Enabling this checkbox the user will be unable to punch the attendance successfully without selfie
      • Mandatory Face Recognition for Attendance: By enabling this checkbox the user will be unable to punch the attendance successfully until Face Recognition is done
      • Restrict Attendance Correction Until Face Recognition Approval: By enabling this checkbox the user will not be able to do Attendance Correction Until Face Recognition Approval is done.
      • Mandatory early attendance check: If this checkbox has been enabled then the user has to do early attendance check based on its shift timings.
      • Mandatory GPS location while ESS Attendance Submit: By enabling this checkbox the user will have to enable the GPS location while submitting the Attendance in the ESS portal.
      • Mandatory Geo - Fence check while Attendance Punch: By enabling this checkbox the user will only be to punch Attendance when the Geo Fence check is done (If he is in the within the area limit from where it will be allowed the attendance)
      • Mandatory Attendance while ESS Login: By enabling this checkbox the user have to apply for attendance as soon as the user logs in to the ESS portal
      • Mandatory Logout with Geo - Fence: By enabling this checkbox the user will have to logout within the Geo - Fence limit, otherwise he will not be able to Logout
      • Hide ESS Attendance Hours: By enabling this checkbox the user will not be able to view the Attendance hours in the ESS portal
      • Hide ESS Attendance Break time: By enabling this checkbox the user will not be able to view the Attendance Break time in the ESS portal
      • Restrict Attendance Correction (Parent as Config): By enabling this checkbox the user will not be do the attendance correction in the ESS portal
      • Disable Attendance Punch from ESS: By enabling the radio buttons the user will not be able to view the Attendance Punch in the ESS portal 
      • Disable Self Service Time Sheet Submit: By enabling this checkbox the user will not be able to submit the time sheet in the self service (ESS portal)
      • Mandatory Login & Logout for ESS Timesheet Submit: By enabling this checkbox the user will have to login and logout in order to submit the ESS Timesheet
      • Mandatory Reporting Person/Manager's Approval for Attendance: By enabling this checkbox the user have to get the reporting manager's approval for the attendance.
      • Mandatory Logout Selfie: By enabling this checkbox the user will have to submit a Selfie while logging out after which it will be able to Logout from the application successfully.
      • Restrict to mark Attendance on Holiday and Weekoff: By enabling this checkbox the user will not be able to mark attendance on Holiday and Weekoff days
      • Allow to raise attendance correction on Holiday and Weekoff: By enabling this checkbox the user will also be to mark attendance on Holiday and Weekoff days
      • Default Shift:  By clicking on this dropdown the user will be able to select the Default shift type which will be applicable to all the contract in which the HR Option is mapped
      • Allow for Comp off Request: By enabling this checkbox the user will be applicable tp raise the Compoff request if applicable 
      • Comp Off Eligible Days: In this field we can enter the maximum eligible days the user can apply for Comp off
    • Leave Configuration (Options): 
      • Enable Leave Applicability (Leave calculations & leave module display depends on leave applicability): By enabling this checkbox the user will be able to see the leave calculations and leave module display 
      • Restrict to apply for Leave from Self Service: By enabling this checkbox the user will not be able to apply for the leave from the Employee ESS Portal 
      • Can raise comp-off request for extra work hours: By enabling the Allowed button the user will be able to raise comp off for extra work hours 
      • Min. extra hours on workday for comp-off: In this field we can enter the Minimum hours after which the user will be applicable for the comp off.
      • Min. hours for comp-off to consider: In this field we can enter the Minimum number of hours after which comp off will be considered.
      • Consider LOP for weekoff : By enabling this checkbox for all the weekoffs it will be considering as LOP
      • Restrict Future Days Leave:
    • HR Actions Configuration (Options)
      • Statutory Location: Here you can select the location from where the statutory is applicable.
      • Min. OT Hours to consider: In this field the we can enter the minimum Over Time hours to consider to make it consider for overtime
      • Process excess OT payment in:  Here you can select in which component you would want to consider paying out the overtime payment 
      • Transfer will be allowed after cooling period of: Herein this field we can mention the minimum number of cooling period (gap days) after which the transfer can take place.
      • Notice Period: In this field we can enter the number of days for which the notice period will be applicable 
      • Employee Joining Kit: In this field we can select the Joining Kit Template and map it accordingly to the Contract
      • PMS Template:  In this field we can select the PMS Template and map it accordingly to the Contract
      • Enable Manager's Seal and Signature on Joining Kit: By enabling this checkbox the mapped manager's signature will be appearing in the joining kit
      • Enable F&F Approval Process: If we enable this checkbox the HR will be applicable to carry out the F&F Approval process 
      • Send Notification to Employee regarding F&F process: If we enable this checkbox we can send to notification to Employee when F&F happens for them
      • Enable Probation Period: If we enable this checkbox then the Probation period will be enabled for the users
      • Enable Offer letter details: If we enable this checkbox then only the offer letter can be generated which will be only after all the offer letter details are approved.
      • Enable HR/Offer/Other Letters Approval: If we enable this checkbox then there will be a approval process while generating these letters
      • Enable Candidate Joining Kit Sign: If we enable this checkbox then the E sign configuration will get enabled for the Joining kit 
      • Release Appointment letter only after Offer Acceptance:  If we enable this checkbox then the user will be able to release the appointment letter only after the acceptance of offer
      • Enable Central Minimum Wage: 
      • Restrict Employee Login: If we enable this checkbox the user will not be able to login to the ESS portal
      • Enable to upload Sign Image:  If we enable this checkbox Employee will be able to upload the Sign Image in the portal.
      • Skip Document Signing in Self Service: If we enable this checkbox the the document signing process will be skipped during the onboarding process
      • Enable Project Task Assigned Notification:  If we enable this checkbox the Employee will be notified when the Project Task is assigned.
      • Restrict RM/Client RM to approve request if request is beyond following days:  If we enter the days in this field it would restrict the Reporting Manager to approve beyond the mentioned days.
      • Consider State applicable actual PT Gross:  If we enable this checkbox then whatever the PT is applicable based on the states, it will automatically deducted.
      • Compute Professional Tax on Projected Income based on State's actual PT Gross:  If we enable this checkbox then one time PT Gross Projection will happen and one deduction computing the yearly PT amount will be deducted.
    • Self Service (Options):
      • Restrict Self Service:  If we enable this checkbox then the employee will not be able to access the self service section
      • Enable Track Me from ESS:  If we enable this checkbox then the Track me option can be enabled in the ESS portal.
      • Enable Live Track in Self Service Mobile App:  If we enable this checkbox then in the Self Service Mobile App the Live Track feature will be enabled.
      • Restrict to apply for Reimbursement from Self Service: If we enable this checkbox then it will restrict the employee to apply reimbursement from self service.
      • Allow Consultant to generate HR letter from ESS:  If we enable this checkbox then the Employee/Consultant will be able to generate HR letter from the ESS Portal
      • Allow Reporting Manager to Submit Leave:  If we enable this checkbox then reporting manager will be able to submit leave on behalf of the employee
      • Hide Leave from Dashboard:  If we enable this checkbox then the employee will not be able to view the Leave status from the Dashboard
      • Hide Leave Balance Summary:  If we enable this checkbox then the employee will not be able to view the leave balance summary in the ESS portal
      • Allow to show leave Without Pay while Applying Leave:  If we enable this checkbox the employee will be able to apply for LOP while applying for Leave.
      • Exclude W/O & Holiday in LOP leave request:  If we enable this checkbox then the employee will not be able to consider week offs and Holiday as LOP
      • Enable training in ESS:  If we enable this checkbox then in the employee section the training module will be available in the ESS portal.
      • Show Payslip in ESS:  If we enable this checkbox then the employee will be able to view the Payslip in the ESS portal
      • Enable Digital ID in Mobile App:  If we enable this checkbox then Digital ID will be enabled in the Mobile App portal
      • Disable Self Service(Only for active Employees):  If we enable this checkbox then for all the active employees only the self service will be disabled.
    • Resignation Configuration (Options):
      • Enable Resignation in ESS:  If we enable this checkbox then the employee will be able to apply for the resignation in the ESS portal.
      • Resignation Template:  If we select the field here then we can map the resignation template based on the particular HR option (contract)
      • Allow Manager to Update Last working Date and Notice Recovery Period:  If we enable this checkbox then the reporting manager can also update the last working date and also details regarding the notice period recovery.
      • Allow Manager to Update Employment Status:  If we enable this checkbox the manager will have the control to update the Employment Status.
    • Flexi Week off Configuration (Options)Enable Flexi Week off while Timesheet Submit:
      • Restrict to apply Flexi Week off for past date:  If we enable this checkbox the employee will not be apply for Flexi Weekoff's for the past date.
      • Restrict to apply Flexi Week off for future date: If we enable this checkbox the employee will not be apply for Flexi Weekoff's for the future date
      • Allow Consultant to apply Flexi Weekoff without approval: If we enable this checkbox the employee will be able to apply for Week off without any approval
      • Allow Reporting Manager to apply Flexi Week-off without approval: If we enable this checkbox then the manager will be able to apply for Flexi Week off without approval.
      • No. of Days to apply Flexi Week off in Advance:  In this field we can add the no max number of days to the user can apply for flexi week off in advance. 
  • Once all of the options are configured as per your requirement, Click on Save to save the HR options successfully.
