Leave Policy configuration help file

Leave Name :

  • Leave Title : Create Leave title name and same will reflect in under Employee profile in core , In Employee ESS portal and same need to use in leave excel import.
  • Short Name : Create the Short name and same can use during the time sheet with leave details and In complaince report short will reflect.
  • Display Name : Create the Display name and same will reflect under time sheet module day level attendance update option and leave used details under employee profile under.

Applicable Gender:

  • Select All – Selected leave is applicable w.r.to gender.
  • Select Female - Select leave is applicable only applicable for Female - Use the same in Maternity leaves.
  • Select Male - Selecte leave is applicable only for Male - Use the same in  Paternity Leave.

Applicable Marital Status

  • NA - Applicable for all employees
  • Single -Applicable onlt for whose Marital Status is Single
  • Married - Applicable onlt for whose Marital Status is Maried  and use the same for   Maternity & Paternity  leave configuration.

Leave Bill Pay Type

  • Bill & Pay-  Selected Leaves are applicable for both payout to employee as well billing to customer.
  • Bill Only -Selected Leaves are applicable only for  billing to customer ,Payout will not applicable to employee on this leave.
  • Pay Only -Selected Leaves are applicable only for  payout to employee .
  • No Bill & No Pay  -Selected Leaves will not consider for payout & billing .

Mark As General Leaves (It is a General Leave , Not basd on Template )- Selected leaves directly will reflect in employee portal .No need of mapping in the template and No need to declare number of days laves.


Mark As paid Leaves (Used for the leave encashment in F&F ) - Unused leaves are auto sync to leave encashment for resigned employees F&F settlement through F&F locking process.


 Is Carry Forward

  • Carry Forward Till End Of Leave Year- Enabled leaves are carry forword to at the end of leave cycle years. With in the leave year leaves will not expired
  • Carry Forward to Next year- Available current year leaves Balance will carry forward to next  leave year and carry forword limit can be defined under the leave templates.
  • Expire by the End of the month - Credited leaves will get expired at the end of every month. For this case leave credit type must be monthly credit. For every month fresh leave will allocate.
  • Expire 6 Months From The Leave Allocated Date - Credited leaves will get expired for every 6 months from the date of credit.
  • Expire Quarterly (3 Months From The Leave Allocated Date)- Crdited leaves will get expired for every 3 months once from the date of leave balance credit.


Leave Credit Type

  • Monthly: Leave will allocate/credit at every month of first day. Defined total number of leaves in the year under  leave template will credit prorate of months [( total No of leaves per year / total number month in the year) = Number leave per month]

Ex. . If Leave is defined 12 for full year, then 1 Leave will credit per month.If Employee Joined in middle of the month also eligible days leaves will credit 

  • Pre Quarterly : Leave will allocate every 4 month once. [ (Total No. Of leaves per year -12/ 4)= 3 leaves per quarter].Leave will allocate first day of the forst quarter month.

Ex : If annual leaves are 12 and quaterly leaves wil be the 3 and same 3 leaves will allocate to employee first day of the quarter month. Once complition of the first quarter , then only second quarter leaves will credit to employee.

  • Post Quarterly: Leave will allocate every 4 month once and allocation happens at the end of the quarter last month Last day .[ (Total No. Of leaves per year -12/ 4)= 3 leaves per quarter]

Ex: If annual leaves are 12 and quaterly leaves wil be the 3 and same 3 leaves will allocate to employee last day of the quarter last month. Once complition of the first quarter , then only second quarter leaves will credit toemployee.

  • Pre Half Yearly: Leave will allocate every 6 month once and allocation happens at the First day & First month of half year. [ (Total No. Of leaves per year -12/ 2= 6 leaves per half year]

Ex: If annual leaves are 12 and half yarly  leaves wil be the 6 and same 6 leaves will allocate to employee First day of the half yearly first month. Once complition of the first half year , then only second half year leaves will credit to employee. 

  • Post Half Yearly: Leave will allocate every 6 month once and allocation happens at the last day & last month of half year. [ (Total No. Of leaves per year -12/ 2= 6 leaves per half year]

Ex: If annual leaves are 12 and half yarly  leaves wil be the 6 and same 6 leaves will allocate to employee First day of the half yearly first month. Once complition of the first half year , then only second half year leaves will credit to employee.

  •  Pre-Yearly:   Annual Complete Leave will allocate at the first day of fiest month in the  year. If Employee’s leave cycle starts from January, then annual full leaves will allocate at Jan-1st in one short.


  • End of the month : Monthly prorate leave will credit at the end of the month last day. 

Ex: If annual leaves are 12 and monthly  leaves wil be the 1 and same 1 leaves will allocate to employee end  day of the every month.



Leave Display

  • With Actual decimal: Actual value will compute and same is reflect in HR login & Employee login. if leave calculates 0.67 leave per month, then it will credit as 0.67 only.
  • Round of Decimal =Computed leaves will get round off .Ex if leave computed as 0.67 per month and it will reflect as 1 with round off.
  • Round Off WO Decimal = Computed leaves will get round off with out decimals .Ex if leave computed as 2.088 per month and it will reflect as 2   


Leave Applicable Rules

  • Is Eligible for Half day- Marked leaves are applicable to apply half day leave , If may first half or second half. Same can able view in ESS portal.
  • Is Restricted Holiday - Marked leaves an able to apply by the employee only on the RH holidays . Same RH holiays needs to define in employee mapped holiday  template.
  • Do not show in ESS Portal - Marked leaves will not reflect in Employee ESS portal and same will reflect to HR login ad will allow to apply from HR a behalf of employee.
  • Restrict club with other leavesIf we enable this leave configuration, applying for different leave on consecutive alternate days will be restricted.
  • Can apply leave in probation (It will display in ESS) - Marked leaves will credit & will reflect in ESS portal eventhough employee is in probation which is defined by the HR under employee probation details.
  • Is certificate required to avail - Marked leaves are mandatory  for attachment while raising the leave from portal.
  • Allocate leave  based on working days - Marked leaves will credit based on the number of days employees present and days allocaion we can define under  the leave template .
  • Consider Full leave in case Day is mark for half day during Week Off - Saturday is marked as half day in calendar template as employee supposed to need to work for 4 hours e.g.: if Leave apply on week off for whole day but ½ / 0.5 leaves will deduct. 
  • Don't consider as sandwich  leave exclude holidays & weekend in between leaves-Marked leaves will not consider on week off & holidays , when emploee raised the long leaves includes with week off & holidays.
  • Allow to use while in Resignation - notice Period-Max. no. of Leaves allowed while in Resignation - Defiled number leaves only will reflect in employee portal for resigned until complete their resignation period.
  • Is Mandatory Leave Note - Marked leaves are mandatory mention leave not while raising from the portal.
  • Min. Days For Certificate - defined days will restrict to apply leaves from the portal without submit attachment.
  • Max. leaves per attempt - Defined days will restrict to apply leaves if attempted more than days leaves in one shot.
  • Min. No. of days to apply leave - defined days are minimum days to apply . EX : if mention Min days 1 . Then application will not allow to apply 0.5 days leaves.
  • Max. attempts of leave -In single attempt of the leave  apply defined number days leaves will  allow and more than will not allow to raise.
  • Min. days in advance to apply- leaves needs to apply before in advance with defined days. on time leave apply has been restricted.


Leave Allocation From 

  • From Joining Date- Leave  allocation/credite  will be start from employee DOJ. If employee in probation allso                         leave will allocate from DOJ & will reflect once complition of probation.
  • From Probation Confirmation Date - Leave allocation/credite will start once employee pobation complition and                    based on the probation confirmation date will allocate.
  • From Eligible After - Leave allocation will start after DOJ with mentioned days under the leave template.                                define under the
