Overview
contract extension refers to the continuation of an existing contract between a company and an employee or a contractor. When a contract extension is offered, it means that the employee or contractor's current assignment is being extended for a certain period beyond the original end date, under similar terms and conditions.
Time Period: The original contract might have been for a set duration (e.g., 6 months or 1 year). A contract extension adds additional time to that period.
We need enable initiate contract extension in user role access please do find the below snap shot, Then only user will able to perform the contract extension process.
Approval Flow Set Up
We can set both approval flow in Master level and specific client contract level.
For Master Level Setting Fallow the Steps: Click on settings >> Company set up >> Click on Portal setting >> Click on Approval Settings >> Click on Add button >> Select contract extension from the drop down and click on save button.
For Client Contract Level Approval Setting Fallow the Steps : Click on contract
For Master Level Setting Fallow the Steps: Click on settings >> Company set up >> Click on Portal setting >> Click on Approval Settings >> Click on Add button >> Select contract extension from the drop down,Select Approver Type from Drop Down and click on save button, Please do refer the below snap shot for reference.
For Client Level Approval Setting Fallow the Steps: Click on client >> Click on Settings >> Click on Approval Setting >> Click on Add button >> Select contract extension from the drop down >> Select Approver Type from Drop Down and click on save button, Please do refer the below snap shot for reference.
Once Approval Work Flow as been configured
Click on consultant dashboard for short expiry employees we will be performing contract extension process to those employees both in manual and bulk we can process.
1. Contract Extension Manual Work Flow.
Click on short expiry employee count >> click on extension applicable >> Click on client name >> Then click on employee name for whom contract extension need to process >> Click on extension status mark to extend >> Extension Period type drop down consist of Date , Month , Days Select as per your requirement >> Extend the date accordingly and click on save button. Now once approver approves the contract extension staffing end date will be changed same will be reflecting in the contract extension logs.
2. Contract Extension Bulk Work Flow.
Step 1: Click on consultant button and then click on import button and select consultant details import.
Step 2: Click on update consultant details and download the sample excel template.
Step 3: In sheet 1 instruction sheet need to select extension status as mark for extend and extension period type Date / Days / Months what ever the field we select in the extension period type days or month need to update in extension period type if extension period type is date need to select extension period date column name and date need to updated as shown in the below snap shot. Once data is updated need to upload the file system now validates and details will be saved.
Step 4: Once consultant update sheet uploaded data will be reflected in the contract extension log and staffing end will be changed as per the updated staffing end date.
Note: In Contract renewal letter need to use tag as {{RevisedStaffingStartDate}} for new contract start date new start date will be the next date of previous staffing end date and need use {{RevisedStaffingEndDate}} for contract extended end dates in the letter same date will be replaced in the place of these highlighted tags
