The onboarding process in StaffingGo ensures a seamless transition for new employees by combining document management, compliance, and user-friendly workflows. Here's an overview of the steps involved:


Employee Onboarding Process Checklist

1. Pre-Onboarding Setup

  • Create Onboarding Documents:
    • Prepare all necessary onboarding documents (PAN, Aadhar,PF Form etc.).
    • Ensure compliance with statutory Documents (e.g., ESI Nomination, PF nomination. Gratuity Form)
  • Configure E-Signature on the onboarding documents:
    • Enable e-signature functionality for onboarding documents.
    • Define mandatory fields for e-signature.
  • Map Onboarding Documents List:
    • Assign onboarding documents to the respective stages of the onboarding process.
    • Verify document availability for both HR and employees.

2. Mandatory Configurations

  • Mandatory Onboarding Configurations:
    • Configure required fields for onboarding to mandatory for both onboarding submission by employee & verification to update the completed status. (e.g., personal details, banking information, Education details etc..).
    • Ensure statutory compliance settings are enabled.
  • Onboarding Declaration Configuration:
    • Set up  onboarding declaration in terms of Questions . Usage the same option to collect the details from the employee which are fileds are not available in the application.

3. Employee Initiation of Onboarding

  • Initiate the employee to onboarding:
    • Send an onboarding invitation email to the employee, including a link to the onboarding portal.
    • Include clear instructions on how to access and complete the onboarding process.
  • Employee Completes Onboarding Details:
    • Employees fill out mandatory details (e.g., personal information, emergency contact, etc.).
    • Upload required documents (e.g., ID proof, educational certificates).
    • Submit the completed details for review.

4. Review and Approval

  • HR/User Review:
    • Verify all details submitted by the employee.
    • Cross-check uploaded documents for accuracy and compliance.
    • Reinitiate the onboarding through reject If the onboarding details are wrong.
    • Update the status of onboarding to "Completed."
