1.    Introduction

The StaffingGo attendance management system is designed to optimize workforce productivity by efficiently tracking the time and attendance of deployed Employees. This comprehensive system offers a range of features and options to meet the diverse needs of clients. In this document, we will delve deeper into the various aspects of the system, including attendance capture options, devices, Employee level attendance policies, time office/attendance masters, and the innovative Geo-Fencing feature.



2.    Attendance Capture Options

StaffingGo provides multiple attendance capture options to cater to different client requirements. These options include:

      a.    Geo Tagging: Employees can mark their attendance by using the Geo Tagging feature, which captures their location at the time of punch-in and punch-out.


      b.    Geo Tagging + Selfie: In addition to Geo Tagging, Employees can also take a selfie to ensure further verification and prevent proxy attendance.


       c.    Geo Tagging + Selfie + Geo Fencing: This advanced option combines Geo Tagging, selfies, and Geo Fencing. Geo Fencing allows clients to create virtual boundaries around specific working locations, ensuring that Employees can mark their attendance only within those boundaries.


      d.    Attendance through Face Recognition: StaffingGo leverages face recognition technology to provide a secure and efficient method for Employees to mark their attendance.


      e.    Integration with Biometric Device Output: The system seamlessly integrates with biometric devices, allowing for direct attendance capture and synchronization.


      f.    Excel Import: Clients have the flexibility to import attendance data from external sources using Excel files, ensuring easy integration with existing systems.



3.    Attendance Capture Devices

StaffingGo offers multiple devices for capturing attendance, enabling Employees to conveniently mark their attendance. The available devices are:

a.    Mobile app (Android): Employees can use the StaffingGo mobile app on their Android devices to access the attendance           management system and mark their attendance on the go.


b.    Mobile app (iOS) - StaffingGo Brand: The dedicated StaffingGo brand app for iOS devices provides a seamless    experience  for Employees using iPhones or iPads.


c.    Web Interface: The web interface allows Employees to access the attendance management system through a web browser, providing flexibility for those who prefer working on desktop or laptop computers.



4.    Employee Level Attendance Policy Configuration

To accommodate the varying attendance policies of clients, StaffingGo offers configurable options at the Employee level. Clients can define their preferred attendance policies based on the following options:

a.    Full Day Present: By default Employee marked as fully present for the day even they do not give attendance.


b.    Minimum One Punch: Employees need to make at least one attendance punch during their working hours to be marked as present.


c.    Minimum Two Punches: Employees are required to make a minimum of two attendance punches during their working hours for attendance to be considered valid.


d.    No Attendance: Employee will not have option to mark attendance.


These configurable policies allow clients to align the attendance management system with their specific organizational requirements and attendance tracking norms.


5.    Time Office/Attendance Masters

StaffingGo provides additional features to streamline time office and attendance management processes. These features include:

a.    Shift Management: The system allows clients to define and manage different shifts, ensuring accurate tracking of Employee attendance based on their assigned shifts.


b.    Holidays List: Clients can maintain a comprehensive list of holidays to facilitate accurate attendance calculation and ensure Employees are appropriately compensated.


c.    Weekly Off Master: StaffingGo allows clients to define weekly off days for Employees, ensuring compliance with the organization's policies and regulations.



6.    Regularization of Missed Punches

To address situations where Employees miss attendance punches, StaffingGo offers built-in rules and options for regularizing missed punches. These rules help clients maintain accurate attendance records and prevent any discrepancies. Clients can configure the system to automatically regularize missed punches based on predefined rules, minimizing the administrative effort required to manage attendance exceptions.


7.    Manager to Mark Attendance on behalf of team member.

One of the ask from clients are, let manager marks attendance on behalf of team members. To address situations where Employees miss attendance punches, OR they do not have smart phones this feature help to mark attendance by manager.


8.    Geo-Fencing Feature

One of the standout features of StaffingGo is the innovative Geo-Fencing capability. Geo-Fencing allows clients to create virtual boundaries around specific working locations. This feature adds an extra layer of security and ensures that Employees can only mark their attendance when they are within the designated boundaries. By leveraging the mobile app and GPS technology, Employees can easily mark their attendance within the defined working area, providing clients with precise location- based attendance data.


9.    Face Reorganization Feature

Face Recognition technology adds an additional layer of security and accuracy to attendance capture. Employees can simply scan their faces using the mobile app or web interface, ensuring reliable identification and preventing any attempts at proxy attendance. (This comes with Extra Cost)



10.    Attendance Rules

Details rules and regulations for attendance tracking, deductions, and leave policies:

•    Minimum Working Hours: Defined for half-day and full-day attendance.

•    Shift-Based Punching Rules: Specific rules for punch-in and punch-out times.

•    Late/Early Punch Limitations: Number of permitted late or early punches before deductions.

•    Overtime Calculation: Minimum hours required for overtime eligibility.

•    Comp-Off Application: Time limit for applying comp-offs.

•    Leave Apply Proof Submission: Rules for proof submission when applying leaves.

•    Leave Clubbing with Weekends : Configuration for clubbing leaves with others.

•    Limit Attendance Corrections: Limits on correction requests per month.

•    Limit Backdated Requests: Timeframe for applying backdated leaves or attendance adjustments.

•    Abscond/Deduction Rules: Criteria for marking absences due to missing punches.

•    Present/Absent: Basic status captured for all employees.

•    Holidays: Pre-assigned and auto-populated templates based on location or vendor specifications.

•    Leaves: Leave records are accessible, including leave credit and debit history.

•    Week-offs:

o    Fixed: Standardized for specific days (e.g., weekends).

o    Flexible: Employees can select their week-offs with managerial approval.

o    Assigned: Managers or HR can assign week-offs.

•    Comp-Off: Compensatory off for employees working on week-offs (minimum 8 hours).

•    Working Shifts: Configurable shifts with options for system-based or manual assignment.


11.    Attendance Access Level

Defines who can access and manage attendance data, with role-based permissions:


•    Employee: Employees can view their own attendance, request leaves, and check attendance history through both mobile       and web portals.

•    Manager: Managers can review and approve team attendance. They can also edit attendance records to resolve               discrepancies.

•    Vendor Spoc: Vendor-specific representatives can manage and approve attendance for their respective teams via the vendor portal.

•    HR/Admin: HR/Admin has complete control over attendance data. They can create policies, manage records, and generate detailed reports.

•    Custom Roles: Additional permissions can be provided based on organizational needs.


12.    Notifications and Alerts

Automated alerts to ensure attendance compliance:

Alerts to managers for:

13.    Women employees working beyond 8 PM.

14.    Employees working double or continuous shifts.

15.    Employees not marking attendance.

Notifications to employees and managers for:

•    Status of leave and attendance requests.

•    Monthly reminders for attendance regularization.
