Creation of New Client (Bulk and Manual)

Client creation is the process of adding a new company or organization into a staffing or business management system. This client acts as the employer or service receiver in the system.


Below are the steps on how one can create Contract in Staffinggo through Manual and Bulk options:


Manual Client Creation Process:


Step 1: Start the Client Creation Process

You can start in two ways:

  • Method 1:

    1. Login as an Administrator/User who has the access to create the client.

    2. Click the “+” icon on the top-right corner.

    3. Select “Create Client” as shown below.


  • Method 2:

    1. Go to the “CLIENT” menu to see the list of clients.

    2. Click the “+” icon to create a new client.


 


Step 2: Fill in Client Details

  • A client creation window will open.

  • Enter all mandatory fields (marked with *) and any other required details as shown below.

  • Click “SAVE” to store the client data.

  • If you don’t want to save, click “CANCEL” to close the form.




   



Step 3: Add Branches

  • Select the newly created client from the list.

  • Go to the “Branches” section.

  • If there is no existing branch click on "Create First One

  • Enter the required details as shown below and click on save.





Step 4: Add/Configure Contact Details 

  • When you are creating new contact details 

  • During that time you will be filling the details in the contact info as shown below 


  • These details only will be showing in the contact info section as shown below

  • Below are some of options while creating a new contact info
  • '+' icon : By clicking on this icon you can add new contact info
  • Column chooser icon: By clicking on this icon you can drag and drop relevant columns.
  • Download icon: By clicking on this icon you will be able to Export all the below data into Excel.

  • 'Edit' icon:  By clicking on this icon you will be able edit and update changes of the client info 
  • 'Delete' icon:  By clicking on this icon you will be able to delete all the client info 
  • Client communication Mail:  By clicking on this icon you will be able to send a communication mailer (this could be from welcome portal credentials) 
  • Portal access:  By clicking on this icon  you will be able to provide the relevant portal access to the contact info created.

Step 5: Configure Settings 

  • In the settings section you can configure the various options at client level which will be only be applicable to the relevant client


  • Below is the brief explanation of all the sections that are available under the settings section:
    • On-boarding Expected Documents:  In this section you will be able to add only the required documents from your end which will be considered for the onboarding. Click on "Create the first one" to create and add the relevant documents which are the only documents you would want to be considered during the onboarding,
    • Declarations: Declarations during onboarding refer to the formal statements or agreements that new employees are required to make as part of the onboarding/Resignation/Sourcing/HR Exit Interview process. Click on "Yes" if you want to Enable onboarding declarations while consultant onboard 
    • Client Options: In this section you can map all the different templates, add PF No, Enable the Birthday well as Work Anniversary Notification at the client level based on the client requirement.
    • Client Onboarding Configuration:   In this section you can make all mandatory configuration to various fields with respect to the onboarding after which the client will be unable to submit for review until those mandatory documents are uploaded.
    • Approval Settings: In this section we can create an approval workflow by adding all the reporting managers and for which module you want to map the reporting managers
    • Client Portal Configurations: In this section we can configure the various parameters at client level as shown below: 
      • Recruitment 
      • Employee
      • Billing
      • Reports
      • Flexi Week off
      • Compliance Portal
    • Client Lower TDS Details: Let’s say your company is making regular payments to a contractor or vendor. Normally, 10% TDS would apply. But if the contractor has a valid lower/nil TDS certificate, you’re legally allowed to deduct less or no TDS, based on that certificate In this case, you can enter the fields in this section accordingly.
    • Tally Ledger: In Tally, a Ledger is the most basic accounting unit used to record all financial transactions related to a particular account—such as a customer, supplier, bank, or expense category and in this field we can map the Ledgers at the Client Level.
    • Invoice SAC Code: SAC (Services Accounting Code) is a classification system under GST used to identify and categorize different types of services for taxation purposes. Mapping the correct SAC code at the client level ensures that invoices reflect the appropriate GST rates, maintain tax compliance, and prevent errors during GST return filings. These details will be mapped here at the Client level in this field.
    • PMS Template:  In this field we can map the Performance Management System Template at the client level in cases when the PMS has been enabled in the staffinggo portal. 
    • Professional Tax Template: Here the user can map the latest Professional Tax Template, The type and the effective date as per the client policies.


Step 6: Work Venue

  • In order to create a New Work Avenue

  • Click on the concerned client and click on create the first one as shown below

  • Here you can enter all the details which are relevant to the particular clients work venue and once completed you can click on Save




Step 6: Documents

  • In this documents section you can add all the Client related Documents 

  • In order to Add the Documents, Click on create the first one

  • Here you choose the file which are relevant to the particular clients document and once completed you can click on Save


Step 7: Meeting

  • In this meetings section you can add all the meeting links such as Google Meeting Links through which the desired representatives can join

  • In order to Add the Meeting link and enter necessary meeting details, Click on create the first one

  • Here you select the type of Meeting and enter all the relevant details such as scheduled date, End type, Subject and Meeting description and once everything is updated, Click on save.




Kindly Note: When you are creating client for the first time, you can fill the client details and then update all the other fields once the client is created successfully.



Bulk Client Creation Process: 


Step 1: Start the Client Creation Process in Bulk 

  • Login in as an Administrator.

  • Then Click on Client.

  • Click on the import icon and select "Import Client details" as shown below which will then redirect you to the bulk creation template as shown below.

  • To Update the client work venue, mapped work venue and tally ledger you can click and download and upload the templates accordingly.

  • Click on Download Sample Excel Document to download the template as shown below

  • Then open the excel template and Go to the instructions sheet

  • In the Excel template, you will find three different worksheets as below:

    • Clients: Updating the details by referring to the instructions format in this sheet will help you to successfully create client in bulk

    • ClientBranchs: Updating the Branch details by referring to the instructions format will help you to create Branch details in bulk

    • ClientContacts: Updating the Contact details by referring to the instructions format will help you to create Client contacts in bulk

Once the details are updated save the file and then in the portal under the import client details from excel section, Click on select file, Select the update file and Click on Import once the details are Valid as shown below after which the clients details will be uploaded successfully.
