Offer / Appointment /HR Letter Generation & Release Process

Offer /Appointment/HR letter generation and same as release to employee for acceptance acknowledge from the Employee ESS portal. 


Letter Generation Process

Follow the steps below  mentioned  to Letter generation


  • Navigate to Associates and open the Associates profile page.
  • In Associate page click on the Offer and HR letter section


  • Click on the Generate option and choose the appropriate Letter category to generate. ( Choose Offer/ Appointment/ Hr Letter)
  • Choose the Letter category  need to generate in the application
  • Choose the respective offer letter template from the letter template list.
  • Follow the wizard to input all the mandatory details marked with * symbol and other information.
  • Click on; Generate Letter to create the offer letter for the candidate.

  • You can view generated offer letter in the offer letter section.

Offer letter Release & Mail to candiadate.


Generated offer letter can be send to the candidate as an attachment through mail in the application ans as well initiate for release to view in the employee portal. Generated offer letter can be released to the candidate to accept the offer from the onboarding portal


  • Slect the generated Letter and click on the Offer/Appointment letetr mail option and Release POP -Up notification will reflect and click on Yes to release.

  • Once release the letter default candiadte mail option will reflect and choose the appropriate mailer template & send.
  • Applications as the provision to mail merge the configured mail by the administrator and self-attach the generated offer letter to send to the candidate.
  • Application as the provision to send SMS or mail or both as notification to the candidate.

    Letter Of Acceptance :

  • Applications as the provision for the candidate to accept the offer letter through the onboarding portal.
  • Select the generated Letter and click on extended option to choose the Send for acceptance option. This functionality will helps to intimate employee  in the mail with released letter to accept from the portal . Send of acceptance mail will triger to employee.

  • Click on send for acceptance along with choosing the mailer template ans send. Employee will get the mailer notification to accept the letetr.

  • A mail will be triggered to the candidate along with the onboarding credentials and offer details. Candidate can view the offer letter and process accordingly in the onboarding portal.
  • Consultant accepts or rejects the offer status will be updated accordingly and the user can view the same.


  • Notification mail will be auto triggered to the user once consultant accepts or rejects the offer.
