In the Application we do have exit process functionality. Using this process employee can raise their exit request to Reporting manager/ ER person for further process. Inooder to achieve the Exit flow need to set up the appliaction with Exit process configuration.
Follow the below mentioned steps to configure the Exit process in the application.
Step 1: Enable the Resignation functionality option in Employee Portal
- Navigate to dashboard Setting List >> Staffingg Master>> HR Option>> Self Service >>Enable Resignation in ESS option need to enable ( HR option need to bifurcate client wise/ Resignation option will impact in ESS portal HR option mapped contract employees). Employee will get resignation option in portal based on this configuration.
Step 2: Resignation Approval Matrix configuration:
In order the maintain the resignation approval matrix need to configure approval flow in the application. As per the approval matrix resignation approval notification will trigger to respective approver.
- Navigate to Setting List >> Company Set up>> Portal Setting >> Approval Setting>> Add the new Exit Request as type and map the approval type using + Symboll . We can achevice the multiple level of approval configuration for exit functonality.
Steps 3: Resignation mailer configuration
We can trigger the requested mail body notification to employee as well Approver . Default from the application backed mailer will trigger.
- Naviagte to dashboard Setting>> General Master >>System Mailer>> Choose Exit mailer template option to configure the mailer.
- Exit Mailer to Consultant : Configured mailer notification will trigger to employee during employee resignation from ESS Portal.
- Exit Mailer To Approver : Configured mailer notification will trigger to Reporting manger. If required we can manage the CC & BCC mail ID for notification team members
- Exit Action Approval mailer : Configured mailer will trigger to reporting manger for approve along with approve & reject option.
Step 4: Exit Declaration Configuration.
During the Resignation raise any declaration need to recieve by the employee details need to configure under Exit declaration in the form of QA. During employee raising resignation along with declaration can submit to HR for review.
- Navigate to Setting List >>general master >> Declaration option >>Chose the Employee Resignation.
- Click on add (+) option and crate the questions under employee resignation and save the details.
- Mentioned Title name of QA and configure the expected declaration details under body of the question tab . If the declaration in the form of Yes/ NO status choose the Question type as Yes/No or If it is text choose the text.
Step 5: Map the employee reporting manger details as per the approval type configured in Approval Matrix.
For employees need to map the respective reporting manger based on the category of approval type used in the Approval Matrix. If Approver missing cases, Employee will get valide error message as RM missing during resignation submit.
Step 6: Once set up with all mentioned above configuration , Employee can able to submit the resignation from the Portal through resignation option.
- Click on Resignation option and submit the resignation with updating all mandatory details & declaration details.
- Once employee submit the resignation approval notification will trigger to approver.
- Based on the Approve / Reject status HR will processed further activities in the application. By confirmation LWD by the Approver HR will manage the LWD in the application.
