Overview
A timesheet are the recording of amount of worker's time spent on each job. Its track the start and end time of tasks or just the duration. It contains a detailed breakdown of tasks accomplished throughout the project or program where this information will be used for payroll, client billing etc.
Timesheet Overview feature allows you to monitor and get insights for the selected timesheet month such as no of employees timesheet processed, approved, previous timesheet pending, and verification adjustment processed pending.
Rate Card Timesheet Adjustment
You can perform the following actions to work on the adjustments:
- After the Invoice process, if the Bill Rate Revised need to be processed.
- Out of 30 Bill days, if the Invoice is processed for 15 days and remaining 15 Bill days need to be processed after the Invoice process; it can be adjusted.
- If additional days bill to be processed it can be added or adjusted after the Invoice process.
- Adhoc incentive or reimbursement Invoice can be processed.
Perform the following steps to configure the time sheet adjustment:
- Click on; Rate Card Billing navigate to Rate Card Billing Dashboard.
- You will be able to view the Complete Dashboard of Particular month.
Insert Rate Card adjustment details
Rate Card adjustment process can be carried out in 2 ways:
Case 1: Import Rate Card adjustment in bulk
- Click on; option and click on Rate Card Billing Timesheet Adjustment Import to import Rate Card adjustment data sheet in bulk.
- Click on; Download sample excel template to download the system pre-defined sample sheet to input the adjustment details.
- Follow the instructions as given below to update the Excel.
Note: In excel, import the Employee No. is mandatory if Client Name & Client Employee No not exists. It should exactly match with the system generated Employee No.
Once the data is ready to upload the file, upload the file; system automatically does the validation and displays the validation message. If any error it displays the message otherwise it displays as “Valid”.
Once the data is valid. Click on; Import button to push the data.
If all the data is valid system displays the message as “Record Updated”. Those successful data will be available for user to use.
Updated details will be available to you in verification pending. Navigate to Rate card billing dashboard and click on count; Verification pending. (Refer the Verification pending section for further process).
Case 2: Process the Rate Card adjustment in individual
- Once the Invoice is processed, in the Rate Card billing dashboard the data will be available in the Invoiced Timesheet.
- Select the default calendar for which month you have to do Rate Card adjustment.
- Select/Choose Clients to process the employee timesheet to adjust. Click on; Show Processed Timesheets to load the employees whom to you have to adjust Rate card employees. It will list all the employees who need adjustment.
- Against each employee click on; option to update the Rate Card adjustment details.
- If you want reverse the Previous billed days please update in Below format
- If you want reverse the Previous LOB days please update as below format
- You input the required data and click on; Update button.
- Click on; Cancel option for not save the adjustment details
- Updated details will be available to you in verification pending. Navigate to Rate Card dashboard and click on count; Verification pending.
Verification pending
- Navigate to; Rate Card Billing & Click on; Verification Pending count.
- Employees imported for Rate Card adjustment and Adjustment processed will be grouped in verification pending. Click on; count, it displays client wise number of employees pending for adjustments.
- Use the filter and calendar to refine the search results for a particular employee. Select the client and click on; Show verification pending adjustment to display the employee pending for approval.
- Select the employees in bulk and click on (Approve Selected) above the employee list. If it is for single employee select the employee and select the approval option checkbox against each employee to approve individually.
- Approved adjustment employees will be available in the Verified Adjustment.
Once Approve the adjustment those will listed in the Invoice pending, Click on Invoice Pending Bin for the Adjustment entries Invoice Processing
